Instruction Guide

Starting September 1, 2026, you will sign in to Redmine through a new centralized login page at portal.xsarus.nl. This new login process is simpler and more secure, providing one account for all XSARUS applications.

What's changing?

To log in to the environment, you need to reset your password by following the steps below:

  1. You will receive an ‘update password’ email from XSARUS Authentication. Reset your password. Please note: the link in the email is valid for 5 days.
  2. Need a new link? Please contact our Service Desk. We will send you a new ‘update password’ email.

We will carry this out per organization. You will receive the email well before September 1.

How to log in for the first time

The first time you sign in, you'll be asked to set up an authenticator app for multi-factor authentication (MFA). This only takes about 2 minutes and only needs to be done once.

From now on, you'll sign in to all XSARUS applications through one central login page: portal.xsarus.nl. This means:

  • One account for Redmine, e-commerce, Merchandiser, and TableTop
  • Improved security with multi-factor authentication (MFA)
  • Fewer passwords to remember

What do you need?

  • Your email address (this is your username)
  • Your password (see below if you've forgotten it)
  • A smartphone with an authenticator app (see Step 1)

Step 1: Download an authenticator app (if you don't already have one)
An authenticator app generates a unique 6-digit code every 30 seconds. You'll need this code each time you sign in as an extra layer of security.

If you already have an authenticator app installed on your phone, you can skip this step.

Otherwise, download one of these free apps from the App Store or Google Play: Microsoft Authenticator or Google Authenticator

Step 2: Go to the login page
Open Redmine using the link you normally use, or go directly to portal.xsarus.nl and click Sign in.

Step 3: Enter your email address and password
Your username is your email address. Forgot your password? Click Forgot password and follow the instructions. You'll receive an email allowing you to create a new password.

Step 4: Set up your authenticator app
A QR code will be displayed. Open the authenticator app on your phone and select Add account or tap the + icon. Then scan the QR code with your phone.

Step 5: Enter the verification code
After scanning the QR code, your authenticator app will display a 6-digit verification code. Enter this code on the login page and click Confirm. The code changes every 30 seconds, so make sure to enter it before it expires.

You're now signed in. From your next login onwards, simply sign in using your email address, password, and the verification code from your authenticator app.

Signing in with Microsoft or Google

You can also choose Sign in with Microsoft or Sign in with Google if you have an account with either service. After your first successful sign-in, you'll be asked to set up your authenticator app once (see Steps 4 and 5).

Got a new phone or lost access to your authenticator app?

If you no longer have access to your authenticator app for example because you have a new phone, your phone was lost, or it was reset, you won't be able to sign in yourself. Please contact your organization's IT contact person or email our Service Desk. Include your name and email address in your message. We'll reset your MFA settings so you can scan a new QR code the next time you sign in (see Step 4).
